This Privacy Policy explains how Halo Security Systems (Pty) Ltd, registration number 2026/079176/07, collects, uses, stores, shares and protects personal information when you use the Cyclops hardware device, mobile applications, website, cloud services, support services and related features.

Halo Security Systems is referred to in this Privacy Policy as “we”, “us” or “our”.

Cyclops is intended for use in South Africa.

By using Cyclops, you agree to this Privacy Policy. If you do not agree with it, you should not use Cyclops.


1. About Cyclops

Cyclops is a home security camera appliance and mobile app system.

The Cyclops hardware device connects to camera feeds supplied by you and performs AI analysis to help detect people and vehicles. Cyclops communicates with the mobile app to provide alerts, remote access, system-health information and visual monitoring.

Cyclops is designed to store camera footage primarily on the Cyclops device installed at your property. However, in limited cases described in this Privacy Policy, video clips may be uploaded to our cloud systems for alarm processing, anomaly analysis, support, service improvement and internal AI training.


2. Our role under privacy law

For most personal information that we collect and process through your account, app, device and cloud services, Halo Security Systems is the responsible party under South African privacy law.

Where you install cameras and decide where they point, who may access the footage, which detection zones are created, which users are invited, and whether features such as Anomaly Detection are enabled, you also have privacy responsibilities.

You are responsible for ensuring that your camera placement and use of Cyclops complies with applicable law and respects the privacy rights of people who may be recorded, including residents, visitors, neighbours, employees, domestic workers, tenants, delivery personnel and members of the public.


3. Personal information we collect

We aim to collect only the information reasonably needed to provide and improve Cyclops.

The information we may collect includes the categories below.


4. Account information

When you create or use a Cyclops account, we may collect:

  1. your email address;
  2. your name, if provided;
  3. your phone number, if provided;
  4. your account login details or authentication identifiers;
  5. user roles, such as Admin or Viewer;
  6. invited-user details;
  7. subscription status;
  8. account status; and
  9. support and communication history.

We use this information to create and manage your account, provide access to your Cyclops system, communicate with you, manage subscriptions, provide support, and protect the security of the service.


5. Device and system information

We may collect technical and diagnostic information about your Cyclops system, including:

  1. device identifiers;
  2. device model and firmware version;
  3. app version;
  4. connection status;
  5. system-health status;
  6. camera connection status;
  7. alert status;
  8. notification delivery status;
  9. error logs;
  10. crash logs;
  11. configuration information;
  12. subscription and licensing status;
  13. IP address and network-related metadata; and
  14. timestamps of relevant system events.

We use this information to operate Cyclops, monitor system health, provide remote access, send alerts, troubleshoot problems, improve reliability, prevent abuse, secure the service, and provide support.


6. Mobile app permissions

The Cyclops mobile app may request certain permissions on your mobile device.

Camera permission

The app may request access to your phone camera to allow you to scan QR codes during setup, activation or configuration.

We do not use your phone camera permission to record, store or transmit photos or videos from your phone camera for any other purpose.

Location permission

The app may request access to your location to support automated security features, such as detecting when you have left your home and assisting with arming or disarming behaviour.

Location-based processing is designed to happen locally on your phone and/or Cyclops system. We do not use this feature to build a location history of your movements.

You can manage mobile app permissions through your phone’s settings. Disabling permissions may limit some features.


7. Usage and connectivity information

For support, alerts, notifications and service operation, we may process limited usage and connectivity information, including whether your mobile device or Cyclops device appears to be online.

This helps us send push notifications, detect system-health problems, troubleshoot issues, and provide support.

We do not use this information to track your personal activities outside the Cyclops service.


8. Camera footage and security data

Cyclops processes camera footage and security-related data from cameras that you connect to the Cyclops device.

This may include:

  1. live camera feeds;
  2. recorded clips;
  3. alarm-event clips;
  4. anomaly-detection clips;
  5. detection-zone data;
  6. person and vehicle detections;
  7. event timestamps;
  8. system alerts;
  9. thumbnails or preview images, if supported;
  10. device logs related to camera processing; and
  11. metadata about events, recordings and detections.

Most camera footage is stored locally on the Cyclops device at your property.

Old footage may be automatically erased from the device to make space for new footage.

You are responsible for saving or backing up footage that you want to keep.


9. When video footage may be uploaded to the cloud

Cyclops may upload video footage to our cloud systems only in the following cases:

  1. Manual training upload You explicitly select a recording and ask to upload it for training or improvement of the Cyclops AI system.

  2. Anomaly Detection You enable the Anomaly Detection setting on a camera.

  3. Alarm event An alarm is triggered.

When footage is uploaded, it may contain personal information about identifiable people.


10. Anomaly Detection video uploads

If you enable Anomaly Detection on a camera, Cyclops is designed to learn where the entrances and exits of the property are.

When the system sees a person entering an area where it has not previously seen a person before, it may upload an approximately 30-second video clip to our cloud systems for further analysis.

We may use such clips to:

  1. analyse the event;
  2. improve the Anomaly Detection feature;
  3. improve detection accuracy;
  4. identify system faults;
  5. improve the Cyclops service;
  6. develop and test AI models; and
  7. perform internal AI training.

You can avoid this type of upload by not enabling Anomaly Detection.


11. Alarm-event video uploads

When an alarm is triggered, Cyclops may upload relevant video footage or event clips to our cloud systems.

We use alarm-event footage to:

  1. process the alarm event;
  2. deliver the service;
  3. support remote access and alert functionality;
  4. help diagnose faults;
  5. improve alert accuracy;
  6. improve the Cyclops service; and
  7. perform internal AI training.

Cyclops does not provide armed response, emergency dispatch, control-room monitoring or security-guard services.

We do not send your footage to armed-response companies unless you separately instruct or authorise such sharing through a feature or arrangement that we make available.


12. Manual training uploads

If you explicitly choose to upload a recording for training, you authorise us to use that recording to improve Cyclops, including by using it for internal AI training, evaluation, testing and quality improvement.

You should not manually upload footage that you are not legally entitled to share with us.


13. AI training and service improvement

We may use uploaded footage, event metadata, detection data and diagnostic information to train, test, evaluate, improve and validate Cyclops AI systems.

AI training is performed in-house.

We do not sell customer footage.

We do not share customer footage with third parties for their own advertising, marketing, AI training or unrelated commercial purposes.

Where reasonably possible, we may reduce, limit, anonymise, aggregate or separate information used for analytics and AI improvement. However, video footage may still contain identifiable people, especially before it has been reviewed, processed or transformed.

Once information has been used to train, test or improve an AI model, it may not be technically possible to remove every influence of that information from already-trained models. Where required by law, we will assess deletion or objection requests on a case-by-case basis.


14. Support access to footage

Our support staff may access your footage only if:

  1. you request support that reasonably requires access to footage;
  2. you explicitly authorise such access;
  3. access is needed to investigate a serious fault, security issue, abuse issue or legal issue; or
  4. access is otherwise permitted or required by law.

We may access diagnostic information, logs, system-health data, configuration data and event metadata where reasonably necessary to provide support, monitor system health, secure the service, or operate Cyclops.


15. Information about other people

Your Cyclops system may capture information about people other than you, including household members, visitors, neighbours, employees, domestic workers, tenants, delivery drivers and other people.

You are responsible for:

  1. placing cameras lawfully;
  2. avoiding private areas where people have a reasonable expectation of privacy;
  3. giving notices where appropriate;
  4. obtaining consents where required;
  5. managing who has access to the system;
  6. ensuring invited users act lawfully; and
  7. responding to privacy requests from people whose information you control through your cameras.

You must not use Cyclops for unlawful surveillance, harassment, stalking, discrimination, intimidation or any unlawful purpose.


16. Children

Cyclops is not intended to be used by children as account holders.

However, because Cyclops is a home security system, footage may incidentally include children who live at, visit, or pass near a property where cameras are installed.

You are responsible for ensuring that your use of Cyclops around children is lawful, appropriate and respectful of their privacy.

We do not knowingly create accounts for children.


17. How we use personal information

We may use personal information to:

  1. create and manage accounts;
  2. authenticate users;
  3. provide the Cyclops app and services;
  4. connect users to their Cyclops systems;
  5. send alerts and service notifications;
  6. process alarm events;
  7. provide remote access;
  8. monitor system health;
  9. provide support;
  10. troubleshoot faults;
  11. process subscriptions and account status;
  12. improve reliability and performance;
  13. develop, test and improve AI models;
  14. improve person and vehicle detection;
  15. improve Anomaly Detection;
  16. prevent fraud, abuse and unauthorised access;
  17. secure our systems;
  18. comply with legal obligations;
  19. enforce our Terms of Service; and
  20. communicate with you about service-related matters.

18. Marketing communications

We may send you service-related messages, including account notices, system notices, billing notices, support messages, security notices and important updates.

We will not send you direct marketing communications unless we are allowed to do so under applicable law.

Where required, we will ask for your consent before sending marketing communications.

You may opt out of non-essential marketing communications.

You cannot opt out of important service, security, legal or account-related communications while you continue to use Cyclops.


We process personal information where one or more lawful grounds applies, including:

  1. you have consented to the processing;
  2. processing is necessary to perform our agreement with you;
  3. processing is necessary to provide the Cyclops service;
  4. processing is necessary to comply with a legal obligation;
  5. processing protects a legitimate interest of you, us or another person;
  6. processing is necessary to prevent fraud, abuse or security incidents;
  7. processing is necessary for support, diagnostics and system integrity; or
  8. processing is otherwise permitted by South African law.

For some video-upload features, such as manual training upload or optional Anomaly Detection, your choice to enable or use the feature forms an important part of the authorisation for that processing.


20. Sharing of information

We do not sell your personal information.

We do not sell your footage.

We do not share customer footage with third parties for their own marketing, advertising or AI-training purposes.

We may share personal information only where reasonably necessary and permitted, including with:

  1. infrastructure and hosting providers;
  2. notification providers;
  3. technical service providers;
  4. professional advisers;
  5. payment or subscription processors, if applicable;
  6. law enforcement, regulators, courts or public authorities where required or permitted by law;
  7. another person where you have authorised the sharing; or
  8. another person where necessary to protect rights, safety, security or property.

Our service providers may include:

  1. AWS;
  2. Firebase; and
  3. Apple Push Notifications.

These providers may process limited information needed to provide infrastructure, hosting, push notifications, cloud processing, security, diagnostics and related services.


21. Armed response and third-party alarm systems

Cyclops does not provide armed response, emergency dispatch, control-room monitoring or security-guard services.

If you connect Cyclops to an existing alarm system using the dry-contact output, that is a technical integration with your separate alarm system.

We do not control your alarm system, armed-response provider, control room, emergency contacts, dispatch process, false-alarm fees, or response outcome.

Unless you separately instruct or authorise us through a supported feature or agreement, we do not share your footage with an armed-response company.


22. International transfers

Some of our infrastructure or service providers may process information outside South Africa.

Where personal information is transferred outside South Africa, we will take reasonable steps to ensure that the transfer is permitted by applicable law and that appropriate safeguards are in place.


23. Security

We use reasonable technical and organisational safeguards to protect personal information against unauthorised access, loss, misuse, alteration, disclosure or destruction.

These safeguards may include access controls, authentication controls, encryption, logging, monitoring, secure infrastructure, internal access restrictions and operational security measures.

No system is perfectly secure.

You are responsible for helping to secure your Cyclops system by:

  1. securing your home network;
  2. securing your cameras;
  3. securing your phone and email account;
  4. using strong passwords or secure authentication methods;
  5. inviting only trusted users;
  6. removing users who no longer need access;
  7. keeping your contact details up to date; and
  8. not tampering with the Cyclops hardware, firmware or software.

24. Data retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.

Local footage is stored on the Cyclops device for as long as there is available storage space. Old footage may be automatically erased to make space for new footage.

Uploaded clips may be retained for service delivery, support, anomaly analysis, alarm analysis, system improvement, security, legal compliance and internal AI training.

Account information is generally retained while your account remains active and for a reasonable period afterwards where needed for legal, accounting, support, dispute-resolution or legitimate business purposes.

Diagnostic logs and system-health records may be retained for a reasonable period to support reliability, troubleshooting, security and service improvement.

If you request deletion, we will assess and process the request in accordance with applicable law.

Some information may remain in backups, logs, records required by law, or AI models where deletion is not technically feasible or is not legally required.


25. Your rights

Subject to applicable law, you may have rights to:

  1. ask what personal information we hold about you;
  2. request access to your personal information;
  3. request correction of inaccurate or incomplete information;
  4. request deletion of personal information;
  5. object to certain processing;
  6. withdraw consent where processing is based on consent;
  7. object to direct marketing;
  8. request restriction of processing where applicable;
  9. complain to us; and
  10. complain to the Information Regulator.

We may need to verify your identity before responding to a request.

Some requests may be limited by law, security, the rights of other people, technical feasibility, legal obligations, or our legitimate need to retain certain records.


26. Rights relating to footage of other people

If someone contacts us about footage captured by your Cyclops system, we may direct them to you where you are the person responsible for the camera placement and local footage.

Where we hold uploaded footage, we will assess any request in accordance with applicable law.

We may need to consider the rights of multiple people in the footage, your rights, our legal obligations, security concerns, and the reason the footage was collected.


27. Account deletion

You may request deletion of your account by contacting info@cyclopsalarm.com.

Deleting your account may affect your ability to use Cyclops.

We may retain certain information where reasonably necessary for legal, accounting, security, dispute-resolution, support, warranty, fraud-prevention or legitimate business purposes.

Deleting an account does not automatically delete footage stored locally on your Cyclops device. You are responsible for managing footage stored on your own device.


28. Data breaches

If we become aware of a security compromise involving personal information under our control, we will take reasonable steps to investigate, contain and respond to the issue.

Where required by law, we will notify affected data subjects and/or the Information Regulator.


29. Cookies and website information

Our website may use basic cookies, analytics, security tools or similar technologies to operate the website, improve performance, protect against abuse, and understand how the website is used.

If we use optional analytics or marketing cookies in future, we will provide appropriate notice or choice where required by law.


30. Changes to this Privacy Policy

We may update this Privacy Policy from time to time.

If we make material changes, we will take reasonable steps to notify you, such as by posting the updated policy on our website, notifying you in the app, or updating the effective date.

Your continued use of Cyclops after the updated Privacy Policy takes effect means you accept the updated policy.

If you do not accept the updated policy, you should stop using Cyclops and may cancel your subscription.
